7 Key Steps To Planning A Charity Auction

Posted: Feb 22, 2011 |Comments: 0 |

Planning for a charity auction requires you to have coordination with the volunteers, make a financial plan, list your objectives, find items you can auction, hire a professional to auction the items, promote the event, and distribute your invitations.

Many organizations and individuals are finding charity auctions a great way to raise money. The increasing popularity of this type of fundraiser is confirmed by the introduction of charity auction software. Many people are attracted to charity auctions because aside from being profitable, it can be an interesting activity. Be sure to consider the following tips if you are about to start a charity auction:

Coordinate with the auction volunteers

You should coordinate with volunteers and other participants whom you think will be able to help you with the preparations. The volunteers can be grouped into committees in charge with a specific component of the fundraiser like the promotions, logistics, set up of the venue, aftercare and others. You should start informing participants about 10 months before the event if it is going to be a large-scale fundraiser.

Create a budget

You need to have an idea about how much money you will need for the auction. Make sure you have enough financial resources to fund the preparations necessary for the event. Break down the budget into specific items like auctioneer fees, sound and light system expenses, venue costs, promotional costs and other pertinent expenses. You can then allocate the budget when you know all of the expenses.

Set your goals

When you have the budget ready, you can now list the goals and financial objectives you want to achieve. Make sure the money you raise is enough to cover all expenses as well as meet the monetary objectives of the fundraiser. Ensure your objectives are very exact, realistic and attainable as well.

Look for possible items you can auction

Make the items you will be auctioning as appealing as possible for your target audience. Remember to factor in your guests' preferences and the trends. Another thing you can do is create packages and unique products that no one else is making. You can also integrate charity auction software so you can better monitor the items you auction. This will be especially useful if you will be auctioning off a catalog of items worth hundreds of thousands of dollars.

Hire an auctioneer

Find an auctioneer who is reliable, compelling and can connect to your guests. You can meet with the professional you are considering so you can evaluate in person if he or she is best for your event.

Publicize the event

You need to have a marketing campaign that is effective enough to relay your message to the target audience. Create a marketing plan that details the different promotional media that you can afford or are planning to use such as print ads, TV advertising, newspapers, e-mails and others.

Send the invitations to your guests

Once you have a final guest list, send your invitations 6 weeks before the event. Make sure the invitation will give them an idea of what the event is about and other pertinent information.

Careful planning is one of the secrets to having a successful event, so be sure to discuss your plans with all the people involved in the event.
