Condominium Management – Self-Management might be the right option

If you live in a condominium, whether it is a 3-unit building or a 150-unit complex, keeping track of all the information associated with the management of the condo is critical.  You need to be able to put your hands on Master Deed, know the location of the gas shut-off, or know when the property firm alarms were last tested.  This is not difficult stuff, it is just a lot of information that needs to be organized and managed.  

If you are a self-managed condo, or are thinking about going the self-managed path it is likely you, or the board that will be responsible for putting in place the process to manage this information.  There are resources available to.  Sorting through the various options is not as easy as you would think.

What to look for in a system to manage information

1.    Ease of Use
Whatever the system and processes you put in place it is crucial that it is easy to use.  Let face it, most of the information you will capture in the system is not something that you need on a daily basis, but when you need it you want to be able to find it quickly.  So a system that does not require an advanced degree to figure out is key.


2.    Fit your needs
As mentioned, there are a great many options out there to you.  The last thing you want to do it try to force fit a software solution to meet your needs.  Professional property management firms, REITS and other real estate companies utilize complex system to track their portfolios.  What works for them does not necessarily work for you.  Make sure the solution you chose meets your needs and has a degree of customization for your property.

3.    Provides Value
At the end of the day you are trying to put in place a solution that will not only make your life as a condo board member easier, but will also increase the value of the property.  If you can maintain and store all the relevant information about your property in a single location, it will be far more attractive to a potential buyer.  For that buyer will be able to see the history of the property, know that it is well managed and will likely pay a premium to own within the condo association.  Now you may not be interested in selling, but if the units around you are selling for more and more money that only means the value of your unit is increasing.

4.    Is Accessible
One of the all too common scenarios with condo associations, especially smaller associations, is a single person or a few people have all the information.  The President or the Board know all that is going on at the association and do not share it with the rest.  It may not be deliberate, but lack of open communications and information sharing can be a big problem.  This day in age with the advancements in technologies, especially internet-based technologies, there is not reason why property information cannot be shared across the association with ease.

Self-managing your property does not have to be hard.  There are a tools and resources out there to take advantage of.  Regardless of the solution however, self-management requires that you, or someone(s), step up and take some management responsibility.  The key is putting in place the tools and processes to make management as easy as possible.
