Secure Data Management are Londons leading document storage provider with facilities just outside the UK’s capital. They now also provide an online service where you can buy document storage boxes online.
Document Storage (otherwise known as archive storage) is a concept many business are familiar with these days as it offers a cost effective way of storing old paperwork.
Most document storage companies offer a fast turnaround in document retrieval as they know use technology to assist with document retrieval techniques.
The most common form of document storage technology is barcodes. Each box that is stored on a document storage complex will contain a barcode that is unique to that box. On the box entering the storage facility it is scanned and information on the location of that box stored in a computer system and database. Other important information such as the box contents and box owner can also be associated with that box record.
Then when the time comes that the customer would like to retrieve the contents of the box it can easily be located using the computer system as the co-ordinates for the box have been stored.
Barcode technology has come a long way in the last couple of days where document storage is concerned and it offers a highly efficient way of operating an efficient document storage company.
Of course barcodes aren’t the only technologies that are used in a document storage company.
As you may know security is a high concern in any archive storage facility and to the end CCTV is present. The CCTV is a collection of security cameras that are fitted to recording devices. This means that the premises can be monitored from a single (or multiple, even off-site locations) 24/7/365.
Another use of technology is the systems that handle disasters such as fire or flood. There are monitoring systems in place that will help to manage the ambience of a storage facility and help to raise the alarms if an element such as fire is detected.
Finally, in some document storage facilities scanning technologies are used to help quickly get documents to clients, without the need for a site visit. This means that a client can request a certain document, have it scanned using an industrial, purpose built scanner and then have it emailed to a requested address or upload to a secure web site.
Technology is now an important part in the document storage industry as it continuously searches for ways to make life easier for its customers.
