It will open up the Outlook Personal Folders Backup dialog box. Press the Options button to customize your backup optionsUse the Browse button to save the backup copies of the files. When done, press the OK button and then the Save Backup button to exit the dialog box. Hit the OK button again to initialize the backup process. The add-in will automatically start backing up your .pst files as per the schedule specified by you.
There is no need to download this add-in for the Outlook 2010 version. This is because Outlook 2010 already has this add-in, and itonly needs to be activated the first time. Open Outlook and highlight the Add-ins tab in the ribbon. Press the Backup button and it will launch the Outlook Personal Folders Backup dialog box. Repeat the above mentioned procedure to customize your backup options.
Second Method:
You can simply copy and paste the .pst file data to another place in your computer or an external disk\drive. For Windows XP, the .pst file is located in My Computer> C: drive> Documents and Settings> user profile> Application Data> Microsoft> Outlook. Browse to this location and copy and paste the .pst file to another file or external media as desired. For Windows 7 and Vista, the .pst file is located in Computer> C: drive> Users> user profile> AppData> Local> Microsoft> Outlook. You can restore your backup anytime you lose access to the Outlook data.

You can also use the Import and Export utility in Microsoft Outlook to back up the Outlook data to another file or external drive. Keep the backup media safe and away from the reach of unauthorized users. If you are using MS-Outlook with Exchange Server, ask your IT admin about the backup utility.
