Data loss on a computer happens for various reasons. Some forms of data loss are fairly easy to remedy; others are more complicated issues that might need the attention of a data recovery service. Physical drive failure, caused by damage to the electronic or mechanical components of the drive, require specialized equipment and knowledge that is beyond the scope of the casual computer user. Those files must be retrieved by a professional data recovery service.

There are other reasons for data loss, however, that can be remedied by the computer user without much trouble and with acceptable, even excellent results. Under certain conditions, even files on a computer that will not boot to the operating system can be retrieved. The first thing that a user should check is the computer's trash bin. The file or files may have been accidentally deleted. If they are not in the bin, a data recovery program will probably need to be used.

Since files are not completely deleted until they are overwritten, the recovery software finds and recovers the data. However, even though the files are still present, the space that they occupy is marked as available and it is possible that they can be overwritten by software installations or saved files. That is one reason that you should try to retrieve the missing files as soon as possible after they are discovered missing.

As with any disaster, pre-planning for missing files is an important step to take. Because the file space is marked as available, the installation of a data recovery program could conceivably overwrite the very files you need to retrieve. Now is the time, before your files go missing, to search out the best data recovery software and install it promptly. Some programs are designed for picture recovery only; other programs will retrieve a wide variety of file formats. There are also programs that not only recognize the most common formats, but also are able to "learn" proprietary or new formats and recover them.

Different procedures are needed if the computer will not boot. It would be easy to panic and try to get the system up and running first. This would be a major mistake because most system restorations entail a complete wipe of the hard drive contents and a reinstallation of the OS. Any missing data would now be irretrievable; therefore, the rule is to retrieve your missing data, and then restore the system. This is possible by using a data recovery disk that operates as a boot disk. This CD or DVD will bypass the operating system and run the computer through a special operating system on the disk. The drives will all be accessible and retrieved files are stored safely on an external drive or other media. The computer is now safe to restore.
