How Does Online Faxing Work?

If you’re in business, no one needs to tell you that everything is moving at the speed of light these days. Business owners and employees need to send faxes as quickly and efficiently as possible, just as fast as they send e-mails. Since faxing has now made it to the virtual world, they share the immediacy of the Internet that e-mail has. There are a lot of different online fax firms out
there, but they all operate in pretty much the same way. If you were wondering about it-asking yourself, "How does online faxing work?"-just read on.

An online faxing service is similar to sending an attached document with an email. In this case, though, the transmission ends up going to a fax number and fax machine, not an e-mail address. Since
there are millions of fax machines still churning out paper in offices around the world, this makes an online fax service an important tool. In some countries, the Internet is only slowly taking
hold, so the armies of fax machines are going to remain part of the business world for a long time to come.
Paper is the past.

Paper documents truly are becoming a thing of the past and will eventually pass away. For the foreseeable future, though, many owners of small businesses and home office workers will continue using
faxes instead of e-mail due to the need to track expenses and keep other records. Legal offices typically prefer printed documents as well, so faxes are direct and timesaving devices.
The online method of faxing gives companies the freedom to send and receive faxes directly to computers as well as fax machines. When faxes are on the computers they can be printed if necessary. Online faxing is also a lot faster than a fax machine, for transmitting, receiving and making copies. If you mostly send (rather than receive) faxes, you have now saved the money you would have use to buy a fax machine - plus all the supplies for it - and therefore you are saving money. This saved money can offset the cost of the Internet connection with which you send faxes online.

Security advantages

The security advantages with online faxing are clear. First, you can send faxes in privacy, and confidentially, with no one watching you do it. There is no line to stand in, either. You can keep the outgoing fax on file on your computer, a much more secure method than filing a printed sheet. You also get a time stamped record of sending the fax, and the online fax providers do not keep copies unless you want them to. This is a very secure method unless you are dealing with corporate secrets, in which case you are probably not going to use any kind of fax at all.

How the service works

There are many online fax providers that offer a range of packages and prices. Ultimately, the cost will depend on how many faxes your business will send and receive. Monthly rates range widely from $4 to $15, and there is always a cost for additional features. Some of the providers offer stripped-down "free" or "limited" accounts, while others offer packages that range from free to costly because they involve per-page charges, a charge for the amount of time (and sometimes the distance) of the phone call, and so forth. Don’t forget, you are essentially e-mailing a message, but the provider modifies that document into one arrives in the proper format for a fax machine, so telephone time is not a large part of the equation.
Fax services include such famous and popular ones as MyFax, TrustFax, eFax, RingCentral, Send2Fax, RapidFax and others. Consider the companies that have good prices but can back up their worth with good features. Naturally, cheaper is not always better. If a fax service offers a free trial, try it out for the introductory period and determine if it is right for your needs. Companies with good reputations also empower you with other features such as notifications, forwarding and storage of sent faxes.

Choosing the best service

Even in today’s Internet-connected world, faxing is still among the most efficient, widespread and low-cost way to send documents and letters. If you’re considering getting on board the online fax train, compare sites and services to ensure that you will be getting the best deal you can. This takes a little time, reading and thinking, of course, but it is important to make the best decision for your business. It is likely that you will be using various means of communication, electronic and otherwise, but it does not make sense to lose touch with the hundreds of millions of fax users in the world just yet. Stay abreast of communications technologies, watch the business trends, and you will know how to use the right tools at the right times - and will be prepared for the next big switch, too.

The Possible Future of Faxing

The mid-20th century technology of "xerography" that led to copy machines also led to the development of faxes in the 1960s. By the 1980s, faxes were everywhere, and when the price point dipped below $100, fax machines became commodity items that even made it into the home. The Internet "changed everything," of course, and soon enough the virtual world offered up fax service minus the machine.
