Customer service can be dreadful, but ultimately, is absolutely necessary in improving your referral rate, increasing business, and getting and keeping customers. It’s best to not think of customer service as a daily horror chore but as an inevitable part of your job that can be extremely gratifying. Just like buying a meal for a homeless man, customer service can be warming and rewarding. Many people don’t think about (or get too impatient to care about) how their attitude and disposition affects another person’s day, impressions, and even their overall life experience. A person that is greeted and addressed like a human being, with feelings, emotions, and humanity, will remember that experience, appreciate it, feel inevitably drawn, and look forward to (at least not dread) speaking to you again.
It’s a lot easier to be superb at customer service then you think. Remember the following while reading and applying this list into your life and work: no matter how you feel SMILE while you speak and always remember that the human you are speaking with has the same basic worries and needs as you do - continuously worrying about family, money, basic necessities, and life’s daily deterrents. As a fellow human being, you can be sure that if all else fails – this person is awful and I’m never going to get along with him/her – that you have something in common to begin with to start a healthy conversation.
1) Don’t scare the subject away. Everyone hates scare tactics. A good example came to me in a letter from my dentist. I hadn’t arranged for my yearly cleaning when I received a letter in the mail that stated, “We have missed you! Many people don’t realize dental problems for years until it’s too late! This can cause disease and tooth decay.” Granted, my dentist is extremely professional, comfortable, and well-scaled, but the letter I received was a product of scare tactic writing and completely turned me off.
2) Be straightforward. “This is why I’m here,” “This is why I’m calling.” Tell them straight up. If you sound like a telemarketer then they’ll treat you like one.
3) Don’t lie. The worst possible thing to do is lie. I have gotten many calls from strange men trying to get a minute with my boss saying, “I’m returning his call,” “I’m really offended that he won’t take my call I just spoke with him,” “He’s expecting me.” The reality is: you won’t earn any trust- even if you do get on the phone with him you’ve already invaded his position and will get shut down- and no one (and I mean NO ONE) appreciates being manipulated into a sale.
