Need to Delegate Some Responsibility? Why Paper Sign Up Sheets are Going the Way of the Dinosaur

Remember the good old signup sheet passed around at the meeting? You pass around a piece of paper and people volunteer for items on the list. Simple, straightforward? Yes, but also not always effective. While it’s great to have a piece of paper you can put in your pocket and look at any time, here are a couple of reasons why online signup sheets (putting a signup sheet on the web) are superior:

• You can never lose it – once it’s on the Web, it’s not going to get lost or stuck in somebody’s pocket in the laundry. With an online signup sheet, if anyone wants a physical copy of the sign up sheet, it’s just a PRINT command away.

• It’s accessible at any time – with paper signup sheets sometimes you aren’t able to commit right at that moment the sheet is passed around. With a signup sheet on the Web, you can go at any instant to see what the available items are to volunteer for. Almost everybody has access to the Internet now. For those who may have missed the meeting you can give them a chance to sign up on their own time.

• You can include more information – on a signup sheet you don’t have a lot of room to inform people of their task. When it’s online you can provide links, documents and other supporting information to help people decide whether to sign up and to help them complete their tasks.

• Reminders can make sure everyone knows what they signed up to do – with paper signup sheets, once you’ve written it down, you have no record of what you signed up for after the meeting. • Life is dynamic, so should your sign up sheet – From the time a signup sheet is created to the time of whatever you are planning for, tasks can change dramatically. • It’s just much easier to manage – with online signup sheets, you just put up the sheet and let people sign up. With a paper sign up sheet, you have to physically get people to sign up or make phone calls and emails to figure out who is doing what. With physical sign up sheets, you become the “master” scheduler and thus have to communicate the latest status to everyone as well as resolve any potential conflicts (e.g. sorry, that one is already taken, how about doing this one). Back and forth emails and phone calls are unproductive when you can just put up an online sign up sheet.

Online sign up sheets are truly superior to paper-based sheets, even for the seemingly simplest of projects. You’ll probably be pleasantly surprised at how efficient and organized you can become, freeing you up to have more fun.
