Voice over IP (VOIP) is becoming more and more popular for keeping in contact with people both on a personal and a professional business level. In this article we are going to look at how using VOIP can benefit your business.
VOIP can save you money on your phone bills. By sing VOIP in your business, especially for long distance calls, you can help to lower your telephone bills. The most popular benefit of VOIP for businesses is that it provides you with free or low cost communication with users worldwide. Skype is very popular in this regard as it is a free program to download and it allows you to contact another Skype user for free, again worldwide. If you are using Skype to talk to someone who is not a Skype user and they are using a standard phone, your rates will still be cheaper than standard long distance rates.
Another feature of using VOIP is the ability to exchange documents with the person you are speaking with. Some VOIP providers (e.g. Skype, Google Talk) allow you to instantly share documents over the internet with the person and can help to increase your productivity as well as provide various forms of information exchange in a single call. It also means that you no longer need to forget to send someone a file via email that you promised during a telephone call – you can do it at the same time as you are speaking to them.
VOIP also allows you to hold inexpensive conference calls and video-conferencing. You can add a group of people to a single conversation or use a webcam also to create a videoconference. Once again, if you are calling other users of this service, it is free, whereas if you are calling others who are not with the same VOIP provider you may be charged a minimal fee. Unfortunately, this feature is also not available on all VOIP providers.
Now, it has always been a good business practice to make a note of calls that are made, but how can you ensure that your employees are tracking their calls? Do you sometimes wish for an easier method of tracking your calls? VOIP often contains a history of calls made, who they were made to, the date and the time. If you are using a text message attached to VOIP you can also get the actual wording, which can be beneficial as an alternative to minute taking and can also remind you later of agreements that were made during the conversation.
In addition to normal VOIP, Skype also has a number of other tools that are useful to look into for your business such as Skylook, which attaches to your Microsoft Outlook program and allows recording of Skype calls. Skype control panel can be useful if there are a number of people in your company using Skype and you need to buy them Skype out credits to call people on ordinary phones. You can also allocate Skype so that telephone calls from normal phones can be directed to their Skype account, etc.
VOIP is changing the face of communication yet again and can be extremely useful for businesses. It allows for cheaper calls, better tracking of call history and the sharing of information as well as easier and cheaper conference calls. You may also find that if you are using a VOIP provider like Skype, that there are many other options available for your business as well.
