Tips for Letter Writing

Writing a letter, personal or business, is like shooting at a target. You might hit a target by accident, but it is more appropriate to be hit if accurate aim has been taken. The main intention of a letter is to convey thought, and the further intention may be to have the thought produce action. But the action depends essentially on how well the thought is conveyed.

A letter always has a purpose, so if you set out the correct object of the letter, you cannot go wrong in writing any type of letter. Following points can be used to make your letter an effective tool of communication.

Avoid use of dull & uninteresting language while writing a letter:
Usually, you glance through the first paragraph of every letter you open. If it grasp your attention by a point in which you are interested, or by a clever reference or a remarkable headline or some unique style, it is probable you will read at least the next written material or two. But if these paragraphs do not keep up your interest the letter will be passed by unfinished. If you fail to give the letter a total reading, the writer has only himself to blame. He has not taken benefit of his opportunity to hold your interest along until he has driven his message properly, point by point.

Keep your sentences short:
Sometimes, the reader loses the beginning by the time he comes to the end of the long sentence, so keep sentences short in your letters. Readers are usually likely to be put off or confused by long sentences.

Positive language:
You should try, as far as possible, to use positive and affirmative language.

Give importance to the reader:
You should keep away from self-centered focusing on your own worries or your business and focus on the recipient's needs, interests, or purposes. This "you attitude" or recipient oriented style is very useful in winning new customers and retaining old ones. It does not mean that you are supposed to use more of "you" in your letter but you should make recipient the main focus of the letter. However, you should be precautious not to carry too far anything in your letter to avoid feel of fraud, superficiality or ambiguity.

Genuine helpfulness:
The letter is a silent salesman whose task is to foresee the needs of its customers and offer to deliver them. In this as in any other type of salesmanship it is the spirit, that matters most, and the spirit of true helpfulness gives pulling power to almost any letter.

In every phase of business or selling, the letter makes it possible for you to keep your finger constantly upon the pulse of trade. While it is crucial to know how to write a strong letter, it is likewise important to know both the carrying capacity of letters and their merits.

The intention of a business letter is to convey your ideas that will trigger off some kind of action - instantly or remotely. There are two essential points in the composition of a letter. The first is, know what you want to say and the second is, say it. And the saying is a matter of putting one word after another.
